Our methodology

How we approach every household engagement

Every Hearthline service begins with the same question: what does this household actually hold, and where does it sit? Until that is established clearly — in writing, in one place — other work is difficult to plan and gaps are impossible to identify.

From there, the scope of each service is agreed in writing before any session begins. Sessions can be paused or ended at any point. All output is produced in formats the household can maintain independently, and no copies are retained by Hearthline once an engagement ends.

Establish what the household holds, in what format and where — physically and digitally.

Sort, name and structure files according to a system the household can continue to maintain.

Write a plain-language record any family member can use, including a register of open points for qualified professionals.

Service 01

Document Map Consultation

A ninety-minute conversation that produces one printed page showing every document your household holds and where it physically or digitally sits: category, location, format, last updated. The coordinator interviews you, walks through folders and drawers with you, and draws the map afterwards.

Nothing is interpreted or filed. The deliverable is an honest picture of what exists. Families often ask for this before a conversation with relatives, or before an appointment with a qualified professional, so the discussion begins from facts rather than half-memories.

Service 02

Family Records Workshop Series

Three half-day workshops held fortnightly for households wanting a durable way of keeping their papers rather than a single tidy-up. The series teaches how to build a structure, maintain digital copies, and write a family orientation note.

Delivered as information literacy and administration: we teach how to keep records, not what any record means for your circumstances. We do not advise on regulated matters. The third workshop covers publicly published descriptions of common Malaysian family document processes as general background reading.

Service 03

Whole-Household Archive Engagement

A ten-week engagement covering everything a family holds on paper and on devices. The coordinator inventories each room and each drive, separates active from archive, scans and indexes the digital set onto storage the family owns, rebuilds and labels the physical set, and writes an orientation document for a reader who has never seen any of it.

The engagement stays entirely within non-regulated administration: sorting, scanning, indexing, labelling, writing. We do not interpret documents, comment on regulated matters or contact anyone on the family's behalf. Three walkthrough sessions spread the knowledge across the household, and a written register lists every open point to raise with a qualified professional.

Written scope before every session

You receive a written description of what the service covers before any session begins. Nothing proceeds without your agreement.

Confidentiality agreements

Every team member signs a confidentiality agreement before any household engagement. This is not optional.

No copies retained

All output is saved to storage you own. Hearthline does not retain copies of any household document after an engagement ends.

No regulated advice given

We describe and organise. We do not interpret documents, advise on legal, financial or tax matters, or act on your behalf with any third party.

Pause or end at any point

Any engagement can be paused or ended without penalty. Fees cover only completed sessions and agreed deliverables.

One coordinator throughout

The same coordinator handles your engagement from first session to final deliverable. Consistency matters when working with personal documents.
